JOB ADVERTISEMENT – TWO DRIVER/ADMINISTRATIVE ASSISTANT POSITIONS

Background

As a federal enterprise, the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its objective in the field of international cooperation for sustainable development. GIZ operates in in around 120 countries around the globe. In Malawi, GIZ has been working for more than 50 years. Malawi is a priority for German international cooperation and currently focuses on three priority areas: education, health and private sector development in rural areas. In addition to our work on these areas, we also work on public financial and economic management and social protection.

GIZ is recruiting two Driver/Administrative Assistant Positions for two of its projects to be based in Lilongwe.

A. Responsibilities
The driver/admin ass. is responsible for

  • safely and responsibly performing all official travel using official vehicles within Lilongwe as well as countrywide
  • regularly servicing and looking after official vehicles
  • taking account of all available information on road conditions, accessible routes and locations
  • running official errands and
  • taking over administrative tasks in the project as well as supporting the admin. Team in general

The driver/admin assistant performs the following tasks:

B. Tasks
1. Driving

  • The driver/admin assistant
  • provides passenger transport in an official car for office, project or programme staff, official visitors and guests
  • runs errands for the project, programme or office, e.g., sending letters and messages, paying bills and buying smaller quantities of office supplies
  • travels with colleagues also to remote areas/districts for some days and supports them with admin. tasks during their workshops/meetings
  • helps with transporting goods
  • completes the vehicle log correctly and conscientiously in accordance with GIZ standards

2. Service
The driver/admin assistant

  • cleans the interior and exterior of the vehicle(s) regularly
  • checks oil, water, brakes and brake liquid, tyre pressure, battery levels and the entire vehicle, monthly or every 5,000 km (whichever is first), headlights, brakes, bodywork for dents etc.
  • is responsible for the project vehicle documents and their good condition, keeping a vehicle log and recording monthly maintenance
  • calculates monthly petrol, oil and lubricant consumption for the daily cash fund and for forwarding monthly vouchers to cost accounting
  • reports need for service and carries out minor repairs
  • manages the first aid kits of the vehicles
  • immediately reports all involvement of the project or office vehicle in accidents, including minor accidents, damage, loss or theft of vehicle fittings

3. Administrative tasks
The driver/admin assistant

  • is responsible for the reception in the project office whenever not travelling
  • assists fleet management
  • takes over procurement of office supplies and manages stores
  • supports the admin team in various aspects as scanning of vouchers
  • prepares meeting rooms for meetings
  • Monitors the genset

4. Knowledge management
The driver/admin assistant

  • uses all available information (including current radio news on traffic conditions) to update daily knowledge of road conditions, current passable routes and locations, and shares this information with other office drivers

5. Other duties/additional tasks
The driver/admin assistant

  • assists other colleagues as needed in the project, programme or office if there is no travel pending, carries out other office work on request

C. Required qualifications, competences and experience
Qualifications

  • secondary school education
  • holds a valid driver’s licence
  • has proven experience in admin. Tasks/office work

Professional experience

  • at least 3 years’ work experience as a driver with references
  • at least 1year work experience in admin. tasks
  • no major accidents in the past 3 years

Other knowledge, additional competencies

  • good knowledge of the English language
  • excellent communication skills, appropriate appearance and attire
  • discipline and punctuality
  • resilience and patience
  • willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management

Contract Duration: According to different program durations
